Overview
Supermove gives you flexible options for how sales tax data is exported to QuickBooks. Depending on your accounting setup, you can choose to export a static tax rate or a dynamic rate based on your customer’s address.
This article explains how to enable Custom Sales Tax Exports, how variables work, and which settings to use to ensure QuickBooks calculates tax correctly.
Enabling Custom Sales Tax Exports
To access this setting:
Settings → Company Settings → Accounting → Configure → Sales Tax
Toggle Enable Custom Sales Tax Exports to ON. This allows Supermove to send custom tax information to QuickBooks using defined variables.
You’ll then see two key fields:
Custom Sales Tax Rate Variable – Select which variable Supermove should use when sending tax data to QuickBooks (e.g., address or ZIP code).
Sales Tax External Invoice Item – Choose the default tax item in QuickBooks to map your exported data to.
Once configured, Supermove will send the tax details during each invoice export, ensuring QuickBooks applies the correct rate based on your selection.
Choosing the Right Variable
If your company calculates sales tax based on location or ZIP code, you can use one of the following source variables:
Shipper Address Variable – Recommended for most setups. This sends the project’s pickup or origin address to QuickBooks to determine tax location.
Custom Location Variable – If your account has a custom variable (e.g., “Project First Location”), it can also be used to dynamically assign tax based on that field.
Understanding How It Works
When Custom Sales Tax Exports are enabled:
Supermove sends the chosen address variable with each invoice export.
QuickBooks uses that address to calculate and apply the appropriate local or state sales tax rate.
This allows for accurate reporting in QuickBooks’ built-in Sales Tax Center and reduces manual reconciliation later.
Example: A moving company operating across multiple regions can use the Shipper Address variable so each invoice reflects the proper sales tax for the pickup location.
Tips for Accurate Reporting
Verify that your QuickBooks tax setup is configured to calculate sales tax automatically.
Confirm that your chosen address variable (Shipper or custom) is correctly populated on every project.
Avoid manually editing tax rates in Supermove unless necessary—QuickBooks will handle rate calculation once the export occurs.
