Pre-Move Checklist
Crew members may be responsible for completing a pre-move checklist before leaving for the customer’s pickup location. This ensures that all gear and equipment are in optimal condition and fully accounted for.
Below is an example of what this may look like at your company:
Verify vehicle condition (tires, lights, fluids)
Confirm tools and equipment are loaded (dollies, straps, blankets, ramps)
Check packing and protective materials (shrink wrap, padding, mattress covers)
Ensure devices (tablet/phone) are charged and ready
Secure all gear inside the truck for safe transport
Example:
| Task | Description | Completed |
|---|---|---|
| Verify assignment | Confirm the job has been dispatched and assigned to you (you should have crew, truck, & details). | |
| Review job details | Check address, contacts, job time, special instructions (stairs, elevator, parking load-in, restricted access). | |
| Confirm route & logistics | Plan your route, check for road closures or construction, verify parking or loading zone permissions. | |
| Check truck & equipment | Inspect vehicle condition (tires, lights, fluids), ensure safety gear, blankets, straps, dollies, ramps are loaded. | |
| Load packing / wrapping supplies | Ensure bubble wrap, shrink wrap, mattress covers, furniture protection, padding, and tools are onboard. | |
| Verify crew readiness | Confirm each crew member knows their role, has water, PPE (gloves, masks, safety gear), and knows meeting point. | |
| Charge devices | Make sure tablets / phones are charged, connected to network, and any job apps are logged in. | |
| Load move-specific gear | Items unique to this job (e.g. specialty crating, appliances, custom parts, fragile items) are loaded and secured. | |
| Secure everything | Ensure all gear inside the truck is properly strapped or braced so nothing shifts during transit. | |
| Final walkthrough in warehouse | Do one last check of staging area, warehouse, packing zones — verify nothing is forgotten or left behind. | |
| Communicate departure | Notify the office or dispatch that you’re leaving, with estimated time of arrival (ETA). |
Pre-Move Documents in the Crew App
In addition to the physical checks, the Crew App will prompt you to complete pre-move documents after arriving on-site with the customer
These documents must be reviewed with the customer on-site before loading any items.
Customers will sign directly on the crew’s tablet to acknowledge and approve the pre-move documentation.
Only once this step is completed should the loading process begin.

Optional Documents and Pending Documents
In some cases, you will have access to optional documents. Like the name implies, these are optional and circumstantial. These are not always required to be signed.
Pending documents are the documents you will find throughout the Crew app process. These are required documents; however, these shouldn't be used like optional documents, as this can disrupt the Crew App flow
Both Optional and Pending documents can be found and the bottom of the starting page and on any page that shows the bill, or by clicking into the "Actions' button in the top right corner and then clicking on "View Documents".
In the screenshot below, those highlighted in red and marked as pending are the required documents that will show up during the Crew app flow. The one highlighted in green would be an optional document. Selecting New will allow you to generate the optional document for review and signature (if applicable).
Equipment & Materials (Optional)
When the office crew creates a job, they will assign the moving materials and equipment needed for that specific move. This may include:
Dollies
Blankets
Straps
Ramps
Other protective materials
After you start the job in the Crew App and confirm the assigned crew and truck, the list of required materials will appear on your tablet.
This step falls under the “Check Truck & Equipment” section of the Pre-Move Checklist. Crew members are responsible for verifying that all listed equipment is accounted for and in good condition before departing the warehouse.
