Overview
Invoices can be sent from the Project Page at any point, including while the invoice is in Draft. You no longer need to wait until every job in the project is complete.
When sending an invoice, you can review the invoice document and email before choosing an Invoice Date. An Invoice Date of today or earlier sends the invoice immediately. A future Invoice Date schedules it to be sent later.
Send or Schedule an Invoice
- Open the project in the Office App.
- Select Accounting → Invoices on the Project Page.
- Locate the invoice you want to send.
- Open the invoice’s three-dot action menu.
- Select Send invoice.
- Review the following information:
- Invoice Template: Controls the layout and information displayed on the invoice.
- Invoice Date: Determines whether the invoice sends immediately or later.
- Payment Terms: Determines the invoice’s Due Date.
- Email Template: Controls the email sent to the customer.
- Email Receipt Template: Controls whether payment receipt emails are sent.
- From: Displays the email address sending the invoice.
- Bill To: Identifies the invoice recipient.
- Review the Email Preview and Invoice Preview.
- Confirm the send action.
Send Immediately
Select today’s date or an earlier date as the Invoice Date to send the invoice immediately.
Schedule for Later
Select a future Invoice Date to schedule the invoice. Supermove sends the current version of the invoice on the scheduled date.
Sending and Issuing an Invoice
For companies using Ready and Issued statuses, sending and issuing are separate actions, but sending can also issue the invoice.
- Sending an invoice immediately automatically moves it to Issued.
- Scheduling an invoice does not issue it immediately. The invoice remains in its current status until it is sent.
- When the scheduled send occurs, the invoice moves to Issued.
- An invoice can also be issued manually without being sent.
For more information, see [Issue an Invoice] and [Invoice Statuses: Ready and Issued Workflow].
For companies using the previous invoice statuses:
- A future send displays as Scheduled.
- An invoice sent with a remaining balance displays as Unpaid.
- An invoice with a $0 balance may display as Paid.
Change or Cancel a Scheduled Send
To change the scheduled send date:
- Open the project and select Accounting → Invoices.
- Locate the scheduled invoice.
- Open its three-dot action menu.
- Select Send invoice.
- Choose a different Invoice Date.
- Confirm the changes.
The latest saved version of the invoice will be sent on the updated date.
To cancel the scheduled send:
- Open the invoice using the Send invoice action.
- Click the X next to the Invoice Date to remove it.
- Save the changes.
Removing the Invoice Date prevents the scheduled email from being sent. It does not cancel or delete the invoice.
Find Scheduled Invoices
Scheduled invoices can be reviewed from the Accounting section without opening each project.
For accounts using Ready and Issued, navigate to Accounting → Moves → Invoices and use the Send Status: Scheduled filter.
For accounts using the previous statuses, navigate to Accounting → Moves → Invoices and select the Scheduled status.
Receipt Email Behavior
The Email Receipt Template is optional.
- If a receipt template is selected, Supermove automatically sends a receipt email whenever a payment is made on the invoice.
- If you do not want receipt emails sent automatically, leave the field blank.
- A receipt may be sent when a payment is made even if the original invoice was not sent through Supermove.
View or Download an Invoice
You can view an invoice document before or after sending it.
- Open the project in the Office App.
- Select Accounting → Invoices.
- Locate the applicable invoice.
- Open its three-dot action menu.
- Select View invoice document.
- Review or download the document.
Each invoice generates its own invoice document. If the project has multiple invoices, verify the invoice number and included billing items before sharing the document.
Payments on Projects With Multiple Invoices
Payments are applied to the invoice marked as Primary. They are not automatically divided among the project’s invoices.
Before collecting a payment for another job or invoice:
- Confirm that the previous primary invoice has been paid.
- Select the invoice that should receive future payments.
- Make that invoice Primary.
- Confirm the Primary label before collecting or recording the next payment.
Otherwise, the payment may be applied to the wrong invoice.
