Overview
Once a Document Flow has been configured, it can be sent to customers by email or SMS. Customers receive a single link that allows them to review, complete, and sign documents in one guided experience.
Unlike Quotes and Confirmations, sending a Document Flow does not update the project's status, making it a flexible way to collect signatures and information throughout the move process.
In this article, you'll learn how to:
- Send a Document Flow from a project
- Review and customize a flow before sending
- Understand the customer experience
- Track document completion
- Manage expired Document Flows
Send a Document Flow
- Open the project.
- Navigate to the Emails tab.
- Click the + button.
- Under Document Flow, select the Document Flow you want to send.
After selecting a Document Flow, you'll be taken to the review screen where you can verify the documents, recipients, and message before sending.
Review the Document Flow
Before sending the flow, review the information on the send screen.
From this page, you can:
| Option | Description |
|---|---|
| Documents | Review the documents included in the flow. |
| Add Step | Add additional documents before sending. |
| Set Expiration | Set an expiration date for the Document Flow. |
| Email Template | Select a different email template if needed. |

| Attachments | Add files from the project or document library. |
Customer Experience
Customers receive a single link that guides them through each document in the order they appear in the flow.
Depending on the documents included, customers may be asked to:
- Review information
- Complete required fields
- Provide signatures
- Submit acknowledgements
After completing all required documents, customers are taken to a confirmation page where they can view and print completed documents.

Track Document Completion
You can monitor Document Flow activity from the project's Event Log.
The Event Log records key milestones throughout the Document Flow lifecycle, including:
- Document flow sent
- Document flow in progress
- Document flow completed
To review the documents themselves, navigate to the Documents tab on the project.
Documents are organized into Incomplete and Completed sections, making it easy to verify which documents still require action.
Expired Document Flows
If a customer opens an expired Document Flow, they will not be able to complete the documents using the original link.
To provide a new link, send the Document Flow again from the project.
Important Notes
⚠️ Documents included in a Document Flow must be published before they can be sent.
⚠️ Interactive signatures can only be completed through the Document Flow link. Attached PDF copies cannot capture signatures.
⚠️ Sending a Document Flow does not change the project's sales stage or status.
⚠️ Invoice documents cannot be included in a Document Flow and must be sent separately.
