Overview

Welcome to the guide on dispatching your crew and trucks using the Dispatch Tab in the Office app. This article discussed how you can easily manage your resources for a smooth operation.

Steps to Dispatch Your Crew and Trucks

Steps to Follow

1. Click on the Dispatch tab on the left-side menu


2. From here, you will see Truck Slots on the left and the day's job list on the right


3. Jobs that need to be dispatched will appear in the Unassigned tab

4. Click the blue Assign button on the job card of an unassigned job

5. Select the truck(s) you want to assign to the job ~ you can select more than one truck if needed

6. Click the job card to edit truck assignments or assign a crew. A window with job details will pop up. Click the blue pencils icon to make edits

7. The dispatch is complete when the job card has a green check mark in the bottom right corner.

By following these steps, you can efficiently assign trucks and crews to jobs, ensuring all tasks are properly dispatched and managed.

Verifying a Dispatch

Steps to View Dispatch Status

1. Before verifying, make sure trucks and crew have been assigned (steps above)

2. Next to the Trucks & Movers section header, colored dots indicate if the correct number of trucks and crew members have been assigned:

  • Red: The number of crew and trucks have not been met.

  • Green: The number of crew and trucks have been met.

  • Gray: The crew member has not viewed the job assignment yet


3. Once all crew members have accepted the job, both dots will turn green, and the job status will change from Dispatch Not Done to Dispatch Done

Helpful Information

Conditions for "Dispatch Done" Status:

  • Confirmation Signed: Ensure that the job confirmation has been signed.

  • Trucks Assigned: Verify that the necessary trucks have been assigned.

  • Crews Assigned: Verify that the necessary crew members have been assigned.

Text Crew Feature:

  • Notification Only: If the "text crew" feature is enabled but the "crew accept/decline jobs" feature is not, the red dot next to Confirmed Movers will turn green once the correct number of crew members has been assigned and notified via text.

  • Accept/Decline Feature: If the "crew accept/decline jobs" feature is enabled, the red dot will turn green once all crew members have accepted the job assignment
